1. Information we process

We process information you provide when creating and using an account, including your name, email address, workspace membership, role, timezone, settings, invitations, and authentication-security records.

Workspace content can include ideas, captions, hashtags, alt text, uploaded media references, generated images, schedules, review decisions, and activity records. Contact submissions include the details and message you choose to send.

2. AI features and chatbot guidance

When you intentionally use an AI feature, the prompt, selected options, and limited context required to answer may be sent to the configured AI service. The ContentOrbit.ai chatbot sends your question, access role when signed in, current product area, and up to eight recent non-sensitive messages so it can provide a relevant answer.

If you start the chatbot’s contact flow, the name, email, subject, message, and confirmation responses are excluded from AI context. They are sent to the contact-delivery provider only after you explicitly confirm submission.

The chatbot conversation is held in the current browser session and is not saved as a workspace conversation. Operational services may still process request metadata and short-lived logs needed for delivery, abuse prevention, reliability, and security. Do not enter passwords, access tokens, payment details, or unnecessary sensitive personal information into AI prompts.

3. How information is used

• Provide accounts, workspaces, content workflows, collaboration, scheduling, and integrations.
• Generate requested text or images and provide product guidance.
• Authenticate users, enforce roles, isolate workspace data, prevent abuse, and investigate failures.
• Deliver verification, password-reset, and workspace-invitation emails.
• Respond to contact requests and improve product reliability and usability.

4. Service providers and sharing

Information is shared only as needed with infrastructure providers that support database hosting, AI processing, email delivery, media storage, deployment, and configured social integrations. We do not sell personal information. We do not authorize providers to use workspace content for unrelated advertising.

If you connect Instagram or another third-party service, that service processes information under its own terms and privacy policy. Workspace Owners and Administrators can also access information permitted by their role.

5. Cookies and local storage

ContentOrbit.ai uses essential authentication and active-workspace cookies. Local browser storage may retain interface preferences and unsaved creation state. These mechanisms support requested product functionality rather than third-party behavioral advertising.

6. Retention and deletion

Account and workspace information is retained while needed to provide the service, meet security obligations, resolve disputes, and maintain required records. Retention can vary by data type and configured provider. Workspace administrators may remove content or member access where the product permits. Backup or security-log copies may remain for a limited period before deletion.

7. Security

We use access controls, verified authentication flows, hashed passwords, session invalidation after password changes, server-side role enforcement, workspace isolation, input validation, rate limiting, origin checks, and protected secrets. No internet service can guarantee absolute security, so report suspected unauthorized access promptly through the contact form.

8. Your choices and rights

Depending on your location, you may have rights to access, correct, export, restrict, object to, or delete personal information. You can update available profile and workspace information inside Settings. For requests not available in the product, contact us through the landing-page contact form. We may verify your identity and authority before acting.

9. Children and international processing

ContentOrbit.ai is intended for business and creator workflows and is not directed to children under 13. Information may be processed in countries where our service providers operate, subject to applicable safeguards.

10. Policy changes and contact

We may update this policy as the product, providers, or legal requirements change. The effective date will be updated when material revisions are published.
